Mail merge pulls its personalized data directly from the column headers in your spreadsheet, so giving those columns clear, simple names like "FirstName" or "Address" before you begin makes them much easier to find and insert correctly as merge fields later. A messy or inconsistently formatted source list is the most common cause of a merge producing blank fields or mismatched data.
Preview before you commit to the full batch
Before running "Finish & Merge," the Mailings tab includes a "Preview Results" option that lets you page through a few completed letters exactly as they'll look for real recipients. Catching a misplaced field or formatting issue in that preview, rather than after generating the entire batch, saves having to redo hundreds of documents.
