How to Review a Word Document Together with Comments

Tap each step to follow along in order.

  1. Select the text and insert a comment

Drag to select the sentence or paragraph you want to comment on, then click 'New Comment' on the 'Review' tab to create a comment bubble at that spot.

  2. Reply to an existing comment

Typing a reply in the box beneath a colleague's comment lets you continue the discussion as a conversation inside that single comment thread.

  3. Mark a comment as resolved

Once you've made the change a comment asked for, clicking 'Resolve' at the top of the comment marks it as handled.

  4. See every comment at once in the Review tab

Opening the 'Reviewing Pane' or 'Show Markup' menu on the 'Review' tab lists every comment and tracked change in the document in one place.

  5. Assign a specific person and treat it like a task

Mentioning someone with '@name' inside a comment notifies them, making it clear who's responsible for handling what, much like assigning a to-do.

  6. Why is it useful?

Multiple reviewers can each leave feedback and reply to each other without editing the original text directly, so a review can be run entirely inside one document instead of a back-and-forth of emails.

Pair It With Track Changes for Full Visibility

Comments are for leaving feedback β€” if you also want to show exactly what wording changed, turning on 'Track Changes' alongside comments lets everyone see who edited which sentence and how.

Reviewing Slides Together Too?

If more than one person needs to build a slide deck as well as a document, it's worth checking out how multiple people can collaborate on a slide deck at the same time.

Frequently Asked Questions

Can I reopen a comment after it's been resolved?

Yes β€” a resolved comment isn't deleted, it just appears grayed out. Clicking it expands the thread again so you can review it or reopen the discussion.

Can I use comments in both the desktop app and the browser version?

Yes β€” inserting comments and replying to them works the same way in both the desktop version of Word and the browser-based version.
