How to Print PowerPoint Slides With Speaker Notes

  1. Click "Print" from the "File" tab

    Click the "File" tab at the top of PowerPoint, then select "Print" from the menu on the left.

  2. Click the "Full Page Slides" dropdown

    Click the dropdown in the middle of the print settings labeled "Full Page Slides."

  3. Select "Notes Pages"

    Clicking "Notes Pages" from the list switches the layout so each printed page includes the slide image along with your speaker notes.

  4. Check the preview, then print

    Confirm in the preview on the right that the notes are readable, then click the "Print" button.

    When rehearsing a presentation or presenting from a printed script, printing slides together with their notes gives you something to reference on paper without needing to look at a screen.

Only notes typed into the Notes pane will show up

This layout prints exactly whatever has been typed into the Notes pane below each slide in Normal view. If a slide has no notes added, that page of the printout simply shows the slide image with an empty notes area beneath it, so it's worth adding at least a short prompt for every slide you plan to present from.

Notes Pages versus Handouts

"Notes Pages" is a different layout from "Handouts," which prints multiple slide thumbnails per page without any notes text, aimed at giving an audience something to follow along with. Choose Notes Pages specifically when the goal is a script for the presenter, and Handouts when the goal is a takeaway for the audience.
