How to Use the Quick Analysis Tool in Excel

Tap through each step to see how the Quick Analysis tool works.

  1. Select the data range to analyze

Drag to select the range of data you want to summarize or visualize.

  2. Click the Quick Analysis icon

A small icon appears at the bottom-right corner of your selection β€” click it to open the menu.

  3. Choose a category

Pick from categories such as Formatting, Charts, Totals, Tables, or Sparklines.

  4. Preview and apply

Hover over an option to preview the result live, then click the one you like to apply it instantly.

  5. Why it is useful

Instead of digging through ribbon menus one by one, you can apply totals, charts, or conditional formatting in just a couple of clicks.

Stop digging through the ribbon for common tasks

If you find yourself hunting through several ribbon tabs just to build a chart or add a sum, the Quick Analysis icon puts the most commonly used features one click away, right where your selection already is.

If the icon does not appear

The Quick Analysis icon only shows up when a data range with more than one cell is selected. If it still does not appear, check File > Options > General and make sure "Show Quick Analysis options on selection" is enabled.

Frequently Asked Questions

The Quick Analysis icon is not showing up. What should I do?

Make sure you have selected a proper data range, then check File > Options > General to confirm "Show Quick Analysis options on selection" is turned on.

Can I edit or undo something Quick Analysis created?

Yes. Charts, tables, or formatting created through Quick Analysis behave exactly like ones you built manually β€” you can freely edit, move, or delete them afterward.
