How to Create a Dropdown List with Data Validation in Excel

Tap each step to follow along in order.

  1. Select the cells for the dropdown

Select the range of cells where you want people to choose from a list.

  2. Click "Data β†’ Data Validation"

On the Data tab, click "Data Validation."

  3. Choose "List"

    Under "Allow," select "List."

  4. Enter the source values

Type in comma-separated values directly, or point to a range of cells that already contains them.

  5. Why is this useful?

It prevents typos and keeps input consistent by only letting people choose from a fixed set of values.

Make form entries far more accurate

If you have ever dealt with a shared spreadsheet form where typos or inconsistent formatting made the data messy, building a dropdown list nudges everyone toward entering only the values you have defined.

Summarize the data with pivot tables too

Once your data entry is clean and consistent, summarizing it with a pivot table becomes much easier, since there are no stray typos or inconsistent values to work around.

Frequently Asked Questions

Does the dropdown completely block values that are not in the list?

By default it only shows a warning and still allows the entry, but setting the Error Alert style to "Stop" under the Error Alert tab will fully block any value that is not on the list.

Can I add to or change the source values later?

Yes. Select the same cell again, open Data Validation, and edit the source values β€” the dropdown list will update to match.
