How to Add a Comment (Note) to a Cell in Excel

Tap a step to see how it works.

  1. Select the cell for the note

Click the cell where you want to add an explanation or reference note.

  2. Right-click and choose New Note

Right-click the cell and click New Note.

  3. Type the note content

In the yellow box that appears, type whatever explanation or reminder you want.

  4. Hover to view the note

A small red triangle appears in the top-right corner of a cell with a note β€” hover over it to see the content.

  5. Why this helps

Leaving extra context in a cell β€” why a formula is written a certain way, or where data came from β€” makes it much easier for you or anyone else to understand later.

Leave yourself a note for complex formulas

If you've come back to a spreadsheet with no idea why you wrote a particular formula, using notes to leave an explanation directly inside the cell is a simple habit worth building.

Pair it with a custom number format

Combining clear notes with a well-designed custom number format makes a spreadsheet dramatically easier for anyone β€” including your future self β€” to follow at a glance.

Frequently Asked Questions

Do notes show up when I print the sheet?

By default, notes don't print. To include them, you need to turn on the print-notes option separately under Page Setup, on the Sheet tab.

Are notes the same thing as newer threaded comments?

No. Modern Excel has two separate features: threaded comments, which support replies, and the classic simple note, which is just a plain reference β€” they exist side by side.
