How to Find Files with Google Drive's Advanced Search

Follow these steps in order.

  1. Click the dropdown arrow on the right of the search bar

Click the small arrow on the right side of the search bar at the top of Google Drive to open the advanced search options.

  2. Choose a file type under "Type"

Narrow the results to a specific kind of file, such as documents, spreadsheets, or images.

  3. Add an "Owner" or "Modified" condition

Narrow it down further to files created by a specific person, or files modified within a specific time range.

  4. Type a search term into the "Has the words" field

This searches the actual content inside a file, not just the file name, for the word or phrase you enter.

When you can't remember the file name

Once a Drive fills up with hundreds of files, searching by name alone stops working well. Narrowing the search by file type, creator, modified date, or content inside the document gets you to the right file much faster.

The same filters can be typed directly into the search bar

Every advanced search filter has a shorthand version, like typing "type:pdf owner:me" directly into the search bar, which gets the same result without ever opening the advanced search panel.

Frequently Asked Questions

Can I search specifically within files that were only shared with me?

Yes β€” choosing "Shared with me" under the "Location" option in advanced search limits the results to shared files you don't own.

Can search operators be typed in manually?

Yes β€” typing something like "type:pdf owner:me" directly into the search bar gets the same result as using the advanced search panel.
